GOP coordination: what to clarify before provider authorisation

A practical checklist for keeping proposed treatment, cost estimates and payer authority aligned.

Start with a defined request

A coordination request should identify the provider, the proposed care, the estimate and the decision required from the payer. Missing information should be listed explicitly so the authorising team can see which parts remain unresolved.

Separate the estimate from the approval

A provider estimate describes an expected cost. It should not be treated as a coverage decision or a payment commitment. The coordination record should distinguish the requested scope, the payer’s written approval and any conditions or limits attached to that approval.

Set the change process

Before care progresses beyond the authorised scope, the operating protocol should define who reports a change, which documents support it and who can approve it. An additional procedure or a revised estimate needs an identifiable decision path.

Close against the approved record

At closure, reconcile the final documentation with the recorded scope and decisions. Outstanding queries should remain visible with a named owner rather than disappearing into an email chain.

This briefing describes operational coordination principles. Case-specific clinical decisions and coverage approvals remain with the responsible clinicians and authorised payer.
